Active Kids Get Talking: Terms and conditions

1. Promoters

1.1 The Promoter of the consultation is Sainsbury’s Supermarkets Limited.

2. Who can enter?

2.1 Active Kids Get Talking is a consultation on the future shape of the Active Kids scheme. The Active Kids Get Talking consultation is open to all pupils, Scouts (Cubs, Scouts, Explorer, Network,) and Guides (Brownies, Guides, Senior Section) collectively referred to as “entrants” in the UK from the ages of 7 to 14 inclusive on the competition closing date 23 May 2008 at 23:59.

3. Entry process

3.1 Entrants carry out a consultation in their school or at Scouts/Guides meetings on one or more of the five Active Ideas. The purpose of the consultation is to help shape the direction and content of the next Active Kids scheme. The Active Ideas are: Active Kids Time, Active Kids Alternative Sports, Active Kids Enterprise, Active Kids Get Cooking, Your Active Kids. The result of the consultation forms the entry. In their entry, entrants comment on the Active Ideas and suggest changes and/or improvements. For ‘Your Active Kids’ entrants enter a new idea of their own. The Promoter reserves the right to decide which ideas will be developed into an Active Kids scheme.

3.2 Winning entries demonstrate, in the sole determination of the judges, the most interesting and innovative ideas, suggestions and comments for the Active Ideas. Winning entries demonstrate, in the sole determination of the judges, how the entered idea(s) can support learning in the school or Scouts/Guides organisation and/or any other aspect directly linked to the school’s, Scouts/Guides organisation’s life. 3.3 Entries comprise the completed online entry form with the entrant’s details, information about the idea entered, information about the team and a PowerPoint presentation with further information and images to support the entry. The PowerPoint presentation is not an obligatory part of the entry. For details on entries, please see Submissions.

3.4 Students / Scouts / Guides, can enter individually or in teams (no restriction on numbers of young people contributing to the ideas but see 3.5). Each entry form must state a teacher or Scouts/Guides adult leader contact name and at least one young person’s name. Entrants must fill in one entry form per idea.

3.5 The Judges will shortlist 15 entries per region, the authors of which will be invited to become regional consultants. The shortlisted entrants will be invited to attend one of the six regional conferences in the UK. There will be a limit of 15 entrant parties comprising four students/ Scouts/Guides and two adults each per conference. The six regions are: Scotland; North East; North West; Midlands; South East; South West. The locations for the regional conferences are Edinburgh; Newcastle; Liverpool; Birmingham; London and Cardiff. The Promoter reserves the right to change these locations.

3.6 The Judges will choose three regional consultant schools and/or Scouts/Guide groups per regional conference to go forward to the national conference.

3.7 The Promoter will draft the Active Kids Manifesto, outlining the best ideas from the regional conferences based on the recommendations of the Judges. The Active Kids Manifesto draft will be presented at the national conference for discussion and ratification by the national consultants.

The 18 entrant parties will be invited to attend the national conference in London, week commencing 15 September 2008.

4. Prizes

4.1 Regional consultants
90 schools and/or Scouts/Guides groups will be invited to attend the six regional Active Conferences as consultants. There will be a limit of four students/Scouts/Guides and two adults per party. Regional consultants will have the opportunity to present their ideas to a panel of judges and attend workshops. All regional consultant schools and/or Scouts/Guides groups will receive 2500 Active Kids vouchers, a School Council UK toolkit, a School Council UK pupil handbook and a School Council UK wall planner. Regional consultant schools and/or Scouts/Guides groups will receive a conference information pack with details about the day before the event. For details on dates please see Notification.

4.2 National consultants
The judges will choose18 entries from the regional consultations to be presented at the national conference. Attending students/Scouts/Guides will be known as national consultants. There will be a limit of four students/scouts/guides and two adults per party. The national consultants will discuss and ratify the Active Kids Manifesto at the national conference and attend workshops. Sainsbury’s reserves the right to decide which ideas from the Active Kids Manifesto will be developed into an Active Kids scheme. All national consultant schools and/or Scouts/Guides groups will receive 6000 Active Kids and an edition of My Voice voting software. National consultants will receive an conference information pack with details about the day before the event. For details on dates please see Notification.

4.3. Expense allowance
Schools, Scouts/Guides groups attending the regional and national conferences will be eligible to an allowance of £250 to cover their expenses. This allowance is non-negotiable and must be applied for with the form included in the information pack for regional and national consultants. The allowance is limited to £250 per school / Scout or Guide Group per conference.

5. Submissions

5.1 Only one entry per idea can be accepted..

5.2 All entries must be submitted online using the entry form. Entries must be submitted by teachers or Scout / Guide adult leaders over the age of 18.

5.3 Entries may be completed at school/camp/ Scout/ Guide meetings or in students’, Scouts’, Guides’ own time.

5.4 Entries must be in the students’, Scouts’, Guides’ own work.

5.5 Entries must not exceed the word limit of 500 words on the online entry form. The entry can be supported by a PowerPoint presentation of no more than five slides and a maximum file size of 5MB. Files that exceed the file size or files in formats other than PowerPoint cannot be accepted.

5.6 In case of duplication, the latest entry will be accepted. All duplicate entries will be discarded.

5.7 All entries will be reviewed by Sainsbury’s and the judges. Sainsbury’s reserves the right to discard any entry that does not adhere to these terms and conditions, or includes inappropriate content such as swear words.

5.8 Ideas submitted may be used for future Active Kids schemes see ‘use of ideas’. The Promoter reserves the right to decide which ideas will be developed into an Active Kids scheme. Ideas from regional or national consultants will not automatically be developed into an Active Kids scheme.

6. Closing date

6.1 Closing date for submitting entries online is 23 May 2008 at 23:59.

6.2 No responsibility will be accepted for any entries lost, delayed or damaged in the uploading process.

6.3 Entries cannot be returned. Please keep a copy before entering.

7. Use of Ideas

7.1 By entering and agreeing to the terms and conditions the teacher / Scout/ Guide adult leader confirms they have explained to the entrants this part of the terms and conditions and agrees on behalf of all the contributors to the Active Kids Ideas that Sainsbury’s can use all rights in the entries including but not limited to reproducing, using, promoting and publicising the entries, in relation to Sainsbury’s Active Kids, free of charge, at their discretion. No entries will be accepted unless the terms and conditions are accepted and agreement to this course action is provided.

7.2 Regional and National consultants will be required to sign a copyright form prior to attending the conferences.

7.3 Schools, Scouts/Guide groups contributing to this consultation are not entitled to royalties, licence fees or any other payments of any kind whatsoever in relation to the entries.

8. Other competitions

8.1 Entries must be an original piece of work for Active Kids Get Talking. An entry that has won a prize in another competition is not eligible for entry in this consultation.

9. Judges

9.1 The Promoter will appoint Judges who will choose the regional and national consultants . The judging panel will comprise education experts and Sainsbury’s representatives. The Judges’ decision is final and no correspondence will be entered into.

10. Notification

10.1 Regional consultants will be notified week commencing 2 June 2008. National consultants will be notified directly by the judges at each of the regional Active conferences between 16 and 27 June 2008.

10.2 Consultants will be the entrants who, in the sole determination of the Judges, have submitted the most compelling use of an Active Idea, or the best new Active Idea, in line with the Terms and conditions. For details on entries, please see Entry process.

10.3 All unsuccessful Schools, Scouts/Guides groups will be notified by week commencing 23 June 2008.

11. Change of rules

11.1 The Promoter reserves the right to change rules of the consultation and judging process at any time and without prior notice.

12. Promotional activity

12.1 The Promoter may ask the regional and national consultants to take part in promotional activity arising from the consultation.

13. Data protection

13.1 Any information you provide will be held by Sainsbury’s for the purposes of administering and promoting the consultation.
